Medical Staff Office Supervisor

Job Summary:
• Supervise daily operations of the Medical Staff Office, including credentialing, privileging, and administrative support.
• Conducts performance evaluations, manage departmental workflows, and participates in hiring, training, and corrective actions up to and including terminations.
• Collaborate with Medical Staff leaders and hospital administration to ensure a smooth, efficient, and compliant credentialing and governance process
• Ensures the effective performance of Medical Staff Office personnel and supports organizational goals through staff management, process improvements, and professional development.
• Performs clerical support for the hospital medical director and medical staff, up to and including - maintaining confidential records, supporting Medical Staff and Administrative operations and preparing documentation.
• Coordinate and oversee Medical Staff and committee meetings, including agenda preparation, attendance tracking, and recording official minutes.
• Oversee and process onboarding and set-up of physicians/practitioners.
• Provides clerical support for other departments as needed.
• Serve as a key liaison between medical staff, administration, and external agencies to ensure seamless credentialing and documentation processes.

Essential Skills:
• Thorough understanding of Medical Staff credentialing regulations, including Governing Board By-Laws, Joint Commission, NCQA, and State/Federal laws, with the ability to interpret and apply them. Skilled in supervision and staff training.
• Facilitate medical staff enrollment with insurance providers.
• Ability to oversee and manage all aspects of medical and allied health credentialing, recredentialing, and privilege delineation. Coordinate insurance enrollment and maintain compliant, confidential credentialing records. Oversee Medical Staff meetings, including scheduling, agenda preparation, and minute-taking
• Conduct staff performance evaluations up to and including - Accurately completes and presents employee evaluations in a timely manner, coaches and develops team members, holds staff accountable for meeting performance standards and returns evaluations with completed Personnel/Payroll Change form to Personnel Department as needed.
• Management of personnel and payroll responsibilities and expectations.
• Accurately completes new hire requisitions for vacant positions within the department.
• Conducts interviews timely and selects best candidate for open position.
• Ensure new employees complete department specific orientation and training, including all associated documentation.
• Participate in quality improvement and continuous education initiatives.
• Develop, reviews and revises operational standards for the department as appropriate.
• Participates in Quality Improvement and District Surveillance Programs, as required.
• Accurately maintains and completes department QA reports as needed.
• Provide administrative support to the Medical Director and Medical Staff committees.
• Promote and maintain confidentiality and professional communication at all times.
• Strong interpersonal skills to effectively collaborate with multidisciplinary teams, patients, and families.

Minimum Qualifications:
• High School graduate or equivalent. Associate’s or Bachelor's degree in healthcare administration, business, or a related field preferred.
• Minimum of 5 years’ experience in healthcare credentialing or medical staff services.
• Minimum of 2 years of supervisory or lead experience in a medical staff office or similar administrative setting.
• Certified Professional in Medical Services Management (CPMSM) or Certified Provider Credentialing Specialist (CPCS) preferred.
